Client Care Coordinator Job Description The Client Care Coordinator ensures that everyone reaching out to Mountain View Family Therapy by phone, email or text message for assistance has a professional, helpful experience.
Client Care Coordinator will work with clients throughout their journey with MVFT, with community partners and referral sources, with existing and new team members, and with others who conduct business with Mountain View Family Therapy.
The Client Care Coordinator has a positive attitude and is highly motivated to be successful.

This role requires strength in multi-tasking and the ability to focus on overarching goals throughout the work day.
This position has an hourly pay rate as well as access to paid time off and some paid holidays.
The Client Care Coordinator will work in conjunction with the Office Manager to manage day-to-day operations of the office, including assisting with billing tasks.
Additionally, the position collaborates with Clinical, Marketing, and Billing teams to ensure that the work being done is focused on each department's overall goals.

One year commitment or longer Prior experience in a mental health setting Prior reception or administrative experience Customer service experience Prior medical billing experience (all tasks can be taught if needed) Education in Psychology, Teaching, Communication or Business Hours:
Work schedule is Monday-Thursday, 20-25 hours, part-time from 2pm-7pm and 12pm-4pm on Fridays.
Job Duties and
Responsibilities:
Answer all inbound calls pertaining to services offered through MVFT including responding to caller questions (therapy needs, therapist fit factor, scheduling needs, billing, etc.
) Return voicemails and communication through email and internal text messaging within the same business day Reach and exceed position goals Greet clients, check them in for in-office appointments, verify and update current demographics, bill copays/deductible amounts and help them get comfortable upon arrival Assist administrative staff in all aspects of the initial onboarding process including matching clients to therapists and treatment options based on need and availability, scheduling appointments with urgency, sending client intake paperwork and online portal access, verifying that all needed paperwork is completed by client within 48 hours, adding client information accurately and completely into EHR, transfer insurance benefit information from eligibility team into EHR, verify that client is rescheduled for future appointments after intake.
Assist with troubleshooting any issues in the client onboarding process.
Collaborate regularly with the clinical team regarding new appointments, scheduling needs and availability.
Maintain MVFT referral log and oversee implementation of CRM automation of waitlist/onboarding process.
Process daily billing which includes verifying/updating billing codes and insurance information in EHR, charge cards for copays, coinsurance, deductible amounts Collaborate with external billing company as needed by serving as in-house point-of-contact Follow up with referral sources Provide appropriate referrals to community resources when we do not fit the needs of the client.
Check new client files to ensure all intake paperwork is completed.
Keep patient files accurate and up to date.
Attend monthly staff meetings and other office meetings as needed, take notes as requested.
Assist with monthly clinical note audits Bill for, collect and apply payments for non-insurance services such as MHAP, clergy pay, self pay, CVR, etc.
Maintain data records with accuracy and completeness.
Work collaboratively with Office Manager to ensure all office tasks are completed in a timely and efficient manner Assist in creation of office systems to increase efficiency, productivity and utilization.
Share and accept feedback and recommendations for process improvements.
Make any adjustments as needed.
Assist with other office-related duties as needed.
